Sole Traders

Straightforward accounting for sole traders — the return right, the expenses claimed, the NI understood, and someone watching the thresholds that change your obligations as you grow.

Being a sole trader is the simplest way to run a business, but 'simplest' still carries a full set of obligations: self assessment with business pages, Class 4 National Insurance layered on income tax, records HMRC can demand, VAT the moment turnover crosses the line, and now Making Tax Digital redrawing how the whole thing is reported. Simplicity, it turns out, needs maintenance.

Acumon keeps sole traders effortlessly compliant and quietly optimised: returns prepared from painless digital records, every allowance and expense claimed, thresholds monitored so nothing ambushes you, and plain-English answers when you need them — including to the biggest question, which is what your business should become next.

Your Return, Built Properly

Self assessment for a trading business is more than typing in totals: basis period rules (freshly reformed, catching many sole traders with transition profits), capital allowances on equipment and vehicles, use-of-home claims, the trading allowance where it helps, and loss relief when a year goes wrong — losses have choices attached, and the default is rarely the best one. We prepare the return as tax advisors, not typists.

National Insurance and What You Actually Owe

Sole trader tax arrives as a stack — income tax plus Class 4 NI, assessed together, with payments on account layered over both — and most sole traders cannot say what their marginal rate actually is, which makes every pricing and spending decision slightly blind. We give you the real numbers: what each extra £1,000 of profit keeps, what to set aside monthly, and how pension contributions change the answer.

Thresholds That Change Everything

A sole trader's obligations arrive at lines you cross without noticing: the VAT registration threshold on rolling 12-month turnover — expensively missed, because late registration means owing VAT you never charged; the MTD income threshold pulling you into quarterly digital reporting from April 2026; payments on account past £1,000 of tax. Watching your position against all three is part of the service, not an extra.

When Sole Trader Stops Being the Answer

The structure that started you need not finish you. Rising profits shift the incorporation arithmetic; risk exposure makes limited liability worth its admin; taking on a partner opens partnership or company routes; some clients simply demand a company to contract with. We rerun the structure question annually with your actual numbers — and when change is right, the formation, registrations and transition (including its own tax choices) are handled in the same firm.

Common Questions

Frequently Asked Questions

What records does a sole trader legally need to keep?
Records sufficient to support your return — income, expenses, and the documents behind them — kept for at least five years after the filing deadline. HMRC can ask to see them, and 'the bank statements are the records' fails on cash trading, mixed-use costs and anything estimated. The practical answer is a simple digital system: business bank account, bank feed, receipt photos at point of purchase. Minutes a week, and it doubles as your MTD compliance when quarterly reporting arrives.
Can I pay my spouse or family for helping in the business?
Yes, if it is real: wages for genuine work at a defensible rate, actually paid, are deductible — a legitimate and useful arrangement where a spouse handles admin, bookings or deliveries and has unused personal allowance. What fails is fiction: payments for work not done, or rates no stranger would earn. Payroll obligations can apply depending on amounts. Done properly it is routine planning; we set it up so it would survive an HMRC look.
What happens if I have a bad year and make a loss?
A trading loss is a tax asset with options: set it against your other income this year or last (often generating a refund), carry it forward against future trading profits, or — in opening years — reach back up to three years. The best choice depends on your rates in each year, and the claims have deadlines. This is exactly where DIY returns leak money: software records the loss; it does not choose what to do with it. We do.
Does MTD apply to sole traders?
Yes — MTD for income tax starts in April 2026 for sole traders and landlords with qualifying income over £50,000, extending to £30,000 in 2027, replacing the single annual return with quarterly digital submissions plus a final declaration. If that is you, the record-keeping change is the real work, and doing it calmly in advance beats doing it in the first mandatory quarter. We assess your start date, set up compliant records, and run the quarterly cycle when it begins.
