Process Automation

Automation for finance and back-office processes — designed by accountants, so the robot does the typing and the controls still hold.

Most finance teams run on manual processes nobody chose: data retyped between systems, spreadsheets emailed for approval, reconciliations performed by eye, month-end assembled by copy-paste. Each is a candidate for automation — and each is also a control point, which is why automation done by technologists alone so often goes wrong: the typing disappears and the checking disappears with it, producing errors at machine speed.

Acumon automates with both halves in view. We map the process as it actually runs, automate the mechanical layer — workflows, integrations, robotic process automation where it genuinely fits — and rebuild the controls into the automated version, so the process gets faster and more reliable at the same time.

Where Automation Pays First

The reliable wins cluster in the same places: invoice capture and approval routing in accounts payable; bank and control-account reconciliations run continuously instead of monthly; recurring journals and intercompany postings; management reporting assembled from live data rather than rebuilt in spreadsheets; payroll data flows between HR, rota and payroll systems; and the swivel-chair work between your operational systems and the ledger. We prioritise by arithmetic — hours consumed, error cost, control risk — not by what demos well.

The Right Tool, Which Is Rarely the Biggest

Most finance automation needs no robots: the capabilities already inside your cloud accounting platform, capture tools, native integrations and workflow products cover the bulk of the opportunity at subscription prices. Robotic process automation earns its place where systems lack interfaces and volumes justify it; bespoke integration where data flows are complex. We are deliberately unglamorous about selection — the best automation is the one your team still understands in two years, and every tool must remove more work than its own maintenance adds.

Controls Built Into the Automation

An automated process without designed controls is an error amplifier, so every build carries its control layer: validation at the point data enters, exception queues for what fails the rules — reviewed by people, sized to stay reviewable — segregation preserved so automation does not quietly concentrate authority in one login, and audit trails that show what ran, when, on what data. This is where an accounting firm automating differs from an IT project: we know which checks existed for a reason, because we are the profession that put them there.

Implementation, Honestly Scoped

Engagements run in stages that each stand alone: a process review that maps what actually happens and quantifies the opportunity; a build phase delivering the automations agreed, tested in parallel with the manual process until the outputs provably match; and handover with documentation and trained owners — plus ongoing support where you want it. We say plainly when a process should not be automated: some are too variable, some too rare to repay the build, and some are broken in ways automation would merely accelerate. Those get redesigned first or left alone.

Common Questions

Frequently Asked Questions

How do we know what's worth automating?
Count, then decide. The process review measures each candidate on hours consumed, error frequency and cost, control risk, and how standardised the process actually is — automation repays repetition and punishes variability. The typical outcome is a short ranked list where the top three or four items carry most of the value, usually in AP, reconciliations and reporting. You then automate in that order and stop when the returns flatten, which is a decision the numbers make visible rather than a leap of faith.
Will automation break our audit trail?
Done properly, it improves it. Manual processes leave patchy evidence — who approved this, which version of the spreadsheet was used — while a well-built automation logs every run, input and exception as a by-product. The risk is real but specific: automations built without control thinking can bypass approvals or concentrate access. Because our builds come with validation, exception handling and segregation designed in, auditors typically find automated processes easier to test than the manual ones they replaced — ours included, when our audit colleagues are on the other side.
Our systems are old and don't talk to each other. Is automation still possible?
Usually, yes — that gap is precisely what the middle layer of automation tooling exists for. Where systems lack usable interfaces, RPA can operate them the way a person does, reliably and logged; where partial interfaces exist, integration tools bridge them. The honest caveat is cost-benefit: sometimes the right answer is not automating around a failing system but replacing it, and we will say so — our cloud accounting practice handles the migration when that is the better road.
What happens when the automation breaks or the process changes?
It is planned for, because it will happen: suppliers change invoice formats, banks change file layouts, software updates move the furniture. Every build is handed over with documentation, named owners and monitoring that surfaces failures as exceptions rather than silent wrongness — the failure mode that actually hurts. We offer ongoing support arrangements for clients who want us watching it, and design everything so that a capable member of your team, not only we, can maintain it. Automation you cannot maintain is a liability with a subscription.
