Cloud Accounting

Cloud accounting implemented and run properly — the right platform, a migration that reconciles, automation doing the typing, and numbers you can trust in real time rather than three months late.

Most businesses are already on cloud software; far fewer get what it promises. The gap is implementation: platforms configured with default charts of accounts that fit nobody, bank feeds reconciled by guesswork rules, receipt capture bought but unused, and reports nobody trusts because the setup was never right. The software is fine — the accounting around it was skipped.

Acumon supplies the accounting. We are hands-on across Xero, QuickBooks and Sage, with dedicated bookkeeping teams for each: we select the platform on your needs, migrate cleanly, build the automation that actually removes work, and either run the books ourselves or train your team on a setup that is fit to hand over.

Platform Selection and Setup

Xero, QuickBooks and Sage each have genuine strengths, and the right answer depends on your industry, complexity and who does the work day to day — we run dedicated teams on all three, so the recommendation is grounded in daily use rather than reseller commission. Setup is where cloud accounting is won: a chart of accounts that mirrors how you actually manage the business, VAT configured for your schemes correctly, tracking categories for the divisions or projects you genuinely report on, and user permissions that reflect who should see what.

Migration Without Losing the Plot

Moving platforms — from desktop software, spreadsheets or another cloud product — fails at the seams: opening balances that never reconcile, historic data mangled or abandoned, VAT part-claimed in two systems. We run migrations as controlled exercises: closing position agreed and reconciled, balances brought across with evidence, comparative history preserved to the depth that is actually useful, and a parallel period where it matters. The old system is switched off only when the new one provably agrees with it.

Automation That Removes Real Work

The productivity in cloud accounting lives in the connections: bank feeds with reconciliation rules tuned to your actual transactions, receipt and invoice capture that reads documents straight into the ledger, connected invoicing with automated chasing, and — where warranted — integrations to your point-of-sale, ecommerce or job-management systems. We build this layer deliberately and prune it honestly: every app must remove more work than it adds, and several popular ones do not.

Real-Time Numbers, and Someone Watching Them

Once the plumbing is right, the books can be current instead of quarterly: dashboards showing cash, debtors and profitability from live data, management reporting produced days after month-end, and Making Tax Digital compliance as a by-product rather than a scramble. We run the bookkeeping fully or share it with your team — and because your accountant is inside the same live data, advice arrives when it is still actionable: a VAT scheme that no longer suits, a debtor drifting, a margin quietly eroding.

Common Questions

Frequently Asked Questions

Xero, QuickBooks or Sage — which should we use?
All three are capable; the differences are fit. QuickBooks tends to suit service businesses and those wanting the gentlest learning curve; Xero's app ecosystem and multi-user workflows suit growing businesses with connected systems; Sage retains strengths where payroll integration and heritage data matter. Industry-specific integrations often decide it in practice. Because we run dedicated bookkeeping teams on each platform, we will recommend against our own convenience if the fit says so — and we support whichever you are already on.
We're already on cloud software but it's a mess. Rebuild or start over?
Usually rebuild in place: a cleanup re-reconciles the banks, repairs the chart of accounts, retires the misfiring rules and unpicks the VAT — preserving your history and your subscriptions. Starting a fresh organisation file is occasionally the cheaper path where the ledger is beyond archaeology, and a platform switch only makes sense if the tool, not the setup, is the problem. We diagnose first; the mess is almost always in the configuration, not the software.
Is our financial data safe in the cloud?
Materially safer than the alternatives it replaced. The major platforms run encrypted, continuously backed-up infrastructure with audit trails of every change — protections a desktop file on an office PC never had, and spreadsheets certainly do not. The genuine risks are access-shaped: weak passwords, no two-factor authentication, ex-staff whose logins outlive them. Our setup enforces two-factor access and sensible user permissions, and reviewing who can see what is part of the service.
Will automation replace our bookkeeper?
It replaces the typing, not the judgement. Capture tools and bank rules eliminate manual entry, but someone still has to decide what the edge cases are, keep the reconciliations honest and notice when a rule starts filing things wrongly — automation applied without review produces immaculate-looking books that are quietly wrong. The realistic outcome is that the same hours buy more: less data entry, more checking, credit control and actual management information.
